Install and configure AI Bill Scanner for Zoho Inventory.

Install Rainfall’s extension, add your OpenAI API key, and turn a vendor invoice PDF into a bill you can review in Zoho Inventory.

AI Bill Scanner for Zoho Inventory is a Zoho Inventory extension that reads invoice PDFs and prepares bill details for review. You stay in control: check the extracted information before asking Zoho to create the bill.

Before you begin

  • Make sure you can install extensions in the Zoho Inventory organization.
  • Have an OpenAI API key ready. API usage is billed by OpenAI separately from a ChatGPT subscription.
  • Ask your Zoho administrator for help if you do not have permission to install or configure extensions.

STEP 01

Install the extension from Marketplace

  1. 1Open Zoho Inventory and go to the Marketplace. Search for AI Bill Scanner for Zoho Inventory.
  2. 2Open the extension listing and choose the install option. Select the organization where you want to use the scanner.
  3. 3Review and approve the Zoho permissions requested by the extension to work with bills, contacts, items, and organization settings.
  4. 4When installation finishes, continue to configuration. If Zoho does not open the settings page automatically, use the navigation steps below.

Marketplace labels may vary slightly by Zoho account. You can also find installed extensions under Settings → Marketplace → Installed Extensions.

STEP 02

Add your OpenAI API key

  1. 1On the installation confirmation, open the extension settings. To return later, go to Settings → Marketplace → Installed Extensions, find AI Bill Scanner for Zoho Inventory, then choose View details → Configure.
  2. 2If you need a key, create one in your OpenAI account’s API settings, then copy the key. OpenAI API usage is charged separately.
  3. 3Paste the key into OpenAI API key. Add invoice-specific instructions in the optional prompt field if needed.
  4. 4Choose Save settings. Return to Zoho Inventory and open a bill to use the scanner.

STEP 03

Scan an invoice and create a bill

  1. 1Start a new bill in Zoho Inventory and open AI Bill Scanner in the bill creation sidebar.
  2. 2Choose Sync Zoho Fields so the scanner can match your custom bill fields.
  3. 3Upload the vendor’s invoice PDF. The current service accepts PDFs up to 4 MB.
  4. 4Choose Extract with AI and wait for the invoice details to appear.
  5. 5Review the vendor, invoice and due dates, line items, quantities, taxes, totals, and any custom-field matches. Correct anything that does not match the original invoice.
  6. 6When the details are right, choose Create Bill in Zoho. Confirm the new bill in Zoho Inventory.

AI extraction can make mistakes. Always compare the prepared bill with the original invoice before creating it.

Having trouble?

If the scanner says it needs configuration, return to the extension settings and save your API key. If Zoho reports a permissions issue, ask your organization administrator to review the extension’s access. For other problems, contact Rainfall support with the error message and your Zoho organization name. Do not email your API key.
